Installation Procedure:

Once the order is confirmed, we ask our clients to be ready with all the Excise documents. Set of existing excise documents help us to understand the exact work to be done. Accordingly, our support engineer starts the work. Our Support engineer visits the client’s place & installs the software. Keeping in mind the company’s requirements, our executive will make the setting in our software like ECC, number range etc.

Installation of the software will be done within 7 days from the date of receiving the purchase order & Cheque.

Customization of Invoice:

Udyog excise software provides a standard excise invoice as per excise. Globalware Systems & Software Solutions customizes the excise invoice as per the client’s format.

Udyog excise software provides the excise invoice in pre-printed computerized stationary or on plain paper.

Client can choose the stationery paper in 80 columns or 132 columns.

Training Procedure:

Globalware Systems & Software Solutions provides predefined training session program.

After installation & configuration of software, Globalware Systems & Software Solution’s support engineer will get an acknowledgement from the client on the training schedule.

As per the mutually agreed training schedule, our executive visits the clients place & provides detailed training to the assigned user. We suggest our client to do the data entry of the last month (minimum) & tally with their manual registers, reports like RG-1, Rg-23 A-part-I & II & ER-1

Trouble Shooting on Chat, E-mail, and Telephone:


Software can create wonders if it is handled in an appropriate manner. However, in case of any kind of mishandling or disturbance in the software, immediate help can be availed through chat, E-mail or Telephone, as per the availability and convenience of the client and Udyog support team.

Onsite Support:

Even after the online support if the problem persists then client can avail onsite support. Here, Globalware Systems & Software Solutions support engineer makes visit according to the mutually fixed time depending upon the availability of the resources and nature of the problem. If problem is not solved and demanding immediate onsite help, it can be given the top priority.

Once Initial training is over and user is used to the system and able to handle troubleshooting, we always prefer to provide online solution. Online solution is provided through telephone & internet. Nature of problems will be understood by user’s expression and these problems are very common. It has typical solution that can be provided online. These solutions are very easy to deploy with the help of online instructions. Online troubleshooting is very useful because it saves lot of time and it gives faster results. Instant services are basic success formula for the service industry.

In case user is not able to solve problem with the help of online methods, then onsite call is arranged based on the availability of the support engineers. These calls are generally attended within 3 to 10 days.

Low Priority:

Every user has some additional requirement other than excise. Generally, Excise is very similar across India. However, a change comes when companies tend to adopt different practices. These changes need some customization, which leads to R & D. Some times, there may arise a need to send same query to USIL corporate office if it requires a hard-core programming change. ow when we say, “what happens?” means; How were the PO quantities affected? How were the on-hand quantities affected? How were the inventory and payables accounts affected? How were allocations affected? How were inbound quantities affected?

We have gone through small customization of many clients. These small customizations have added tremendous experience to our team. We would suggest following precautions for the system study: -

  • Every department head or software concern department head should do proper study on their requirement before the system study
  • They should consult the requirements with their respective department people.
  • After consulting they should freeze it as no alteration would be entertained after that.
  • Proper documents should be maintained for department wise system study
  • All department head should identify common transactions between their departments, so that there could be proper data flow through integrated software.
  • Two departments sharing same transaction must form common procedures and methods so that there could be proper co ordination through software.

Customization:

Customization is next step of the project. Customization helps to reduce the gap between the actual software and customer requirement. Here we would like to accommodate maximum requirement though standard software and avoid customization. Standard software facilitates smooth maintenance in the long run. Customization is done as per the system study. Once customization is over then it will be send for the approval to every user and department head.

Quality Testing:

Implementation will start only after the full approval of every concern person. There are two different types of implementation; one is module wise while another where everything is done at once. We would like to suggest implementation of all modules provided there is enough quality workforce. However, in case there is shortage of work force or quality work force then we would suggest having module wise implementation.

Training:

Generally, implementation and training goes simultaneously. Training starts from master data entry of the party and the item. After master data entry, every transaction entry will start with respect to every department depending upon sequence of transactions.

Support & Maintenance:

Largely there is no need of support after the proper system study, perfect customization, thorough training and seamless system integration. Scope for support arises if the users are not satisfied with given features and reports. However, we can under take second phase of customization only after the successful implementation of first project.

Otherwise, support is provided for any small problems arising out of mistakes done by operators, hardware, or any other factors.
